However, I genuinely think how we handled this - particularly the way we quoted that figure - was not good enough, so out of my own pocket I'm going to add another 5% on top. That brings us to 35% back onto your original payment method. The money lands within 3 to 5 business days, there's no hassle or weeks of waiting, and you keep the item with our compliments.
I know that's not the 40% you asked for, but I hope it reflects that we've heard you and we're genuinely trying to make this right.

Thank you for letting me know - I completely understand that the style isn't quite right for you either.
Before we go ahead with a return, I'd like to offer you something that might work better. A return does come with some real downsides: you'd need to pay for the postage yourself (£19.95 to our overseas supplier), it takes 3 to 4 weeks just to reach us, and then another week or so before the refund is processed - so you're looking at 5+ weeks before your money lands. There's also a genuine risk that a parcel gets lost in transit.
What I'd like to do instead is put a 10% cashback straight back onto your original payment method. It lands within 3 to 5 business days, you keep the item (no postage, no wait), and you can use it towards something that suits you better.
Would that work for you, or would you still prefer to arrange a return?

Please provide the return address and confirm whether I am free to use my own tracked postal service. Your returns policy states that customers are responsible for return shipping costs, but it does not state that returns must be sent to an overseas supplier or that the return cost is fixed at £19.95.

Let me be honest about what a physical return would actually involve for you. When you placed the order, you accepted our return policy. In practice, you'd be paying the return shipping yourself (£19.95 to send it back to our overseas supplier), it takes 3 to 4 weeks to reach us, and only once it arrives and we've inspected it does the refund process start. So you're looking at a genuine 5+ week wait before your money lands. You also need to send it within the 30-day return window from delivery, and it must be unworn and in original packaging. There's also a real risk that a parcel gets lost in transit back overseas.
I took it to the higher-ups and asked what I personally could put forward for you, and they agreed I can offer you 20% cashback and you keep the item. The money lands within 3 to 5 business days, there's no postage cost or weeks of waiting, and you keep the piece.

I appreciate the offer of a 20% refund.
Having reviewed your published Refund & Return Policy again, I note that it states customers are responsible for return shipping costs and that a tracked shipping service should be used. However, it does not state that returns must be sent to an overseas supplier, that customers must use a £19.95 return service, or that the cost of returning an item would be £19.95.
Given those circumstances, I don’t feel that a 20% refund is a fair resolution.
As a gesture of goodwill, I would be willing to keep the item if you were able to increase the partial refund to 40%. I believe that would be a reasonable compromise for both of us and would avoid the need for a return.
If that isn’t possible, I would still like to exercise my right to return the item, and I would be grateful if you could provide the return address and confirm that I may use my own tracked postal service, as set out in your published returns policy.
